First item from list to consider was the Episcopal Youth Event (EYE)

Jay reported that 12 youth aaplications and 4 adult had been received. He noted that it was a fair representation of the diocese coming from Buffalo, the suburbs and from outlying communities. It is possible that we may get one or two more slots which should be used for minority candidates. They are Kelly and Amanda Szczepanski, Rachel Phillippi, Rachel Hasely, Maggie Avery, Samantha Cutlip, Katelyn Koziel, James Moffitt, Liam Doherty, Charles Burrows, Bryan Sharry, and Samuel Perry. The applicants consist of one (1) 9th grader, three (3) 10th graders, one (1) 11th grader and 7 seniors. Three (3) come from Buffalo congregations, four (4) come from suburban congregations and five (5) come from outlying congregations. There are five (5) male candidates and seven (7) female. Motion was made to accept the 12 youth candidates as the delegation and was passed by concensus.

The adult candidates were Fr. Dan Weir, Cheri Krull, Wendy Schumacher and Kevin Boddecker. There are only 3 available adult spaces. Discussion concerned levels of experience, need for balance of adults to gender of youth (so 2 females needed) Jay recommended that Fr. Dan, Cheri and Wendy be chosen and that Kevin be invited to be a counselor at camp. Motion was made to accept that recommendation and passed unanimously.

Discussion of costs, fees and fundraising. Parent of delegate has offered to run a spaghetti dinner with proceeds to be divided evenly among group. Other options are avaialbe too. Registration fees are due in April or May.

Youth Commission retreat. Due to oversight on Youth Missioners calendar he is not available on the original dates. The retreat is to review plans for youth ministry over the next five years and input from youth is important. Suggested dates of Jan 21-22 offered. Liam moved those dates be accepted, Liz seconded. Motion passed unanimously.

Bishop’s Ball - Have not called Calvary Williamsville to finalize location. Sammi Cutlip will follow through on that. Also no work done on music or sound system. Liam and Rachel P are to be working on music, James M and Terra are to be looking into a sound system. Event will be 7-10 PM. Next year we want to look at creating recognition awards. Will need to pick up more beads for this year.

Camps – this year there will be a single brochure for all camps including involvement with Music Art & Drama camp with ELCA at LCLC. Looking at possiblity of a single theme for all the camps. Costs are increasing and cost of camp will be higher again this year. Discussing future of camp may be a retreat discussion.

March meeting – current date scheduled is Palm Sunday, is this a problem? After discussion it was agreed to leave the date as is.

Urban Caucus – Urban Caucus this year is offering a youth track with seperate housing. Delegation of 3 youth would like financial assistance. Use of scholarship fund approved at $200 per person. Motion approved unanimously.

Motion to adjourn seconded by James M. Adjourned at 3:50 PM
