Minutes of September 2003 Meeting

First meeting of the Sunday format 2:00 pm – 5:30 pm.

Present: Daniel Weir, Terra Cutlip, Carmen Seufert, Jay Phillippi, Rachel Phillippi, Nick Hurd, Katelyn Koziel, Wendy Schumacher, Rachel Haseley, Samantha Cutlip, Maggie Avery, Lois Carter, Pete Avery

  1. Bishop’s Ball: "Michael’s Mardi Gras" Feb. 21, 2004 moved by Fr. Dan seconded by Nick Hurd, approved.

Decorations - $50.00 Jay moved and Rachel Phillippi seconded.

2) Jay discussed change in Youth Commission format of meeting Sunday afternoon for extended period of time. Fr. Brown moved and Pete Avery seconded. For Nov., June, March, and May 3rd Sunday. January would be moved due to Super Bowl. Meetings would remain at St. Mark’s, Orchard Park.

3) Fund Raising Effort with calendars. Jay moved to purchase calendars this year, Rachel Haseliy seconded. 3 cases of 25 each King James; 1 case in modern translation. Motion carries.

  1. Convention Delegates: Jay & Wilson explained what convention is. One person from each deanery selected by youth commission.

Serious business to be attended to. Fr. Wilson moved we accept this slate of youth delegates and alternates with jay filling in as needed and appropriate, seconded by Terra Cutlip.

  1. Fr. Dan nominated Nick Hurd as Youth Chair of the Youth Commission. Nick accepted nomination. Nominations were closed with the secretary instructed to cast one vote for the position.
  2. Diocesan council Youth Representative needed. Fr. Dan nominated Rachel Phillippi and Terra Cutlip seconded. Rachel is willing to serve. Terra Cutlip moved and Fr. Dan seconded the nominations be closed and the secretary cast one ballet for the election of the representative.
  3. Honduras: Committee felt this was feasible. Met with St. James’, Batavia people.
      1. Need to pick a date a year away
      2. Week long trip
      3. Need to look at time of year

    San Pedro Sula

    Fr. Wilson moved Youth Commission serious about going forward with plans to be committed to the mission trip with a report at the non-meeting. Terra Cutlip seconded.

  4. Planning Retreat: De we need one? Terra suggests a mini retreat of where we are at and what goals are. Decision to be made in Nov.
  5. Youth Choir:
      1. Get together to sing
      2. Fund raising effort – concerts/CD
      3. Legal – copyright of course – very license – 1 basic youth music book? Meet possibly 1 time per month ˝ day to full day. Great musicians in diocese. Planning stages but would like youth commission to go ahead.

    License: ccli only known one through Happening over all umbrella, can be tricky. Gia publications separate, not under same umbrella. Have to be very careful. If charging admission can be a problem as well.

    Move: Pete Avery look into progress and possibilities with whom he chooses. Phillippi/Phillippi

  6. Conferences: Went well $ is good. Jr. High costs close to income.
  7. $3,600.00 Parishes – 900 St. Andrews

    Sr. High Scholarship came from budget

    Sr. High: some troubles, 2 young men sent home. How incidences reviewed suggest there be formalized way of dealing with discipline issues – overall

    Jay suggests he works with folks to develop

    Fr. Brown says they should develop one and bring it before this body.

    One difference between Happening and Camps is there is a rector’s recommendation.

    Is difficult to get rector’s stuff sometimes.

    Carmen would like to help with.

    Paperwork needs to be worked on.

    Scholarships – unofficial Episcopal youth or congregation that will support them.

    Jay will work on this and bring it back.

  8. Happening Request: $1,000.00 for Camp Pioneer – these are $ budgeted, has to be formalized for it to be dispersed – approved.
  9. Meeting Dates For the Rest of the Year: Sunday 2:00 to 5:30 @ St. Mark’s, Orchard Park
